The Administrative Assistant is responsible for delivering administrative and secretarial support, assisting in the research and development of company policies, assisting with the maintenance and generation of operational documentation, and management, oversight and compliance of internal management systems: Quality Management System (QMS) system and Professional Practice and Management Plan (PPMP).
Job Details:
- At this time this position is being listed as a remote or hybrid position: the applicant must supply their own remotely located office or work station and equipment for this position.
- RockEng will provide a company laptop for the duration of this position, as required. Weekly work hours may vary (estimated 5-10 hours per week).
- Hours of work are flexible.
Responsibilities:
- Use computer word processing, spreadsheet, email and database software to prepare, edit, and format templates, policies, correspondence, memorandums, reports, and proposals. Experience with Microsoft 365 Suite of products including Word, Excel, PowerPoint, OneDrive, Teams and SharePoint; experience with database or accounting software an asset
- Research and assist in the development of company policies, programs, and training. Experience in high quality and professional writing is considered an asset.
- Scan and electronically file receipts
- Reconcile monthly visa statements
- Summarize monthly project expenses in spreadsheets, including the breakdown of HST/GST/QST for all entries
- Arrange business-related travel, reservations, and accommodations
- Assist with the management and oversite of website and social media platforms. Experience in website and social media management is considered an asset
- Order office supplies and maintain inventory
- Set up and maintain manual and computerized information filing systems
- Compile and collate data, statistics and other information to support operational activities
- Organize and schedule catering and coffee/kitchen supplies, as needed
- Coordinate and order company branded items, gifts, and printed media (forms, cards, brochures), as required
- Perform miscellaneous job-related duties, as required
- Assist with project-specific administrative or clerical duties, as required
