The Project Assistant is responsible for ensuring that projects have all required documentation to start and that all documentation is organized and up to date.

Key Responsibilities:

  • Create and maintain project documentation, including contracts, change orders and project plans within Google Suite.
  • Obtain land development approvals, required permits, signage and acting as a liaison between client and approving authorities.
  • Navigates through the proper channels in the event that a minor variance is needed.
  • Staying up to date with all products and services offered by Songwood Contracting
  • Answering and directing company calls to the appropriate department.
  • Organizing rental division
  • Other duties as assigned by the Project Managers and Office Manager

  • Operational Metrics: Track labour productivity, project completion times, budget adherence, and client satisfaction as critical performance indicators.
  • Technology Adoption: Measure the effectiveness of new technology integrations, including reductions in project management time, improved communication, and overall project visibility.

Results

Requirements:

Communication Skills:

  • Excellent verbal and written communication skills to effectively communicate with team members, trade partners, and clients.

Organizational Skills:

  • Strong Organizational time management skills
  • Ability to prioritize and manage multiple tasks simultaneously while maintaining deadlines

Technical Proficiency:

  • knowledge of office equipment and computer hardware and other peripheral devices.
  • Proficient in word processing and spreadsheet tools (Excel, Google Sheets and Microsoft Office).

Adaptability:

  • Ability to thrive in a dynamic and fast-paced environment.

Quality Management:

  • Focus on delivering high-quality outcomes.
  • Implement and monitor quality assurance processes.

Project Coordination:

  • Assist project managers with administrative tasks related to ongoing construction projects.
  • Update and maintain project documentation, including contracts, permits, and project plans.
  • Coordinate meetings, site visits, and logistics for project teams.

Working Conditions:

  • This position works in the field and the office. The office environment is controlled and maintained in a safe manner. Must travel to meet team members, clients or vendors. Is exposed to driving hazards. Adherence to Safety Policy and Driving Safety Policy is vital.

Physical Demands:

The physical demands for this position are light. Must be able to use standard office equipment such as telephone, computer, files, copier, etc. Occasionally lift/carry items up to 30 lbs.

Mental Requirements:

Self motivated and able to handle rapidly changing priorities and several tasks simultaneously. Must be able to respond to difficult situations with clients and co-workers with a high level of professionalism. Must be able to communicate effectively with vendors and co-workers. Must be able to follow safety guidelines at all times. Must have the ability to manage and lead effectively.

Internal Relationships:

Communicates with all levels of the company's team. Building strong relationships with team members is vital for a positive and collaborative work environment.

External Relationships:

Collaborating with vendors, suppliers, and maintaining positive relationships with clients or customers is essential for project managers. They must manage these relationships to obtain necessary resources, ensure timely deliveries, and provide quality products or services. Understanding client needs, effective communication, and expectation management are critical components for ensuring overall client satisfaction.
