Position Description:

The Office Administrator provides essential administrative support to the Executive Director, staff, Board of Directors, students, and volunteers. This role is responsible for office operations, financial administration, payroll support, and facility management to ensure the smooth functioning of the agency.

The successful candidate will manage financial transactions, process invoices, distribute Board documents to members of the Board of Directors, and attend monthly Board meetings to take minutes. Additionally, they will support the organization’s Annual General Meeting, maintain records, and ensure compliance with reporting requirements.

Qualifications:

• Diploma in Business Administration or an equivalent combination of education and experience.

• Minimum of three years of administrative experience, preferably in a non-profit or social service setting.

• Strong computer skills and proficiency in office software.

• Excellent written and verbal communication skills.

• Ability to manage multiple priorities while maintaining confidentiality.

• Knowledge of women’s issues, social housing, and the criminal justice system is an asset.

Duties and Responsibilities:

The duties and responsibilities of the Office Administrator include the following areas:

• Financial Administration (banking, invoicing, accounts receivable, and petty cash management).

• Payroll & Billing (processing payroll documentation, tracking payments, and ensuring compliance with contracts).

• Audit & Compliance (supporting the annual audit, preparing reports, and managing financial records).

• Office & Facility Management (overseeing supplies, equipment, and agency vehicle maintenance).

• Event & Fundraising Support (coordinating the Annual General Meeting, managing membership records, and supporting fundraising initiatives).

• Administrative Support (providing assistance to the Executive Director, staff, and Board of Directors).
