Title: Information Services Assistant (Bilingual)
Position: Full-Time

Position Function: The Information Services Assistant position is responsible for organizing and coordinating delivery of intake and offering front-line support. They assess client needs, providing emotional support, information, assistance, and facilitate referrals to KMFRC staff, service providers and mental health professionals, as required.

They input, review and maintain client intake and family registration data in Client Relationship Management (Penelope) system. They facilitate the integration of newly posted families to the community by directing them to a community service provider in their region and/or assigning them to a Military Family Navigator. In addition, level 1 personnel provide immediate crisis intervention, secure support as required, research and liaison with community service providers to identify local community programs, services and activities that meet the needs of the Canadian Armed Forces (CAF) families.

They assist clients while delivering exceptional customer service and creating an overall welcoming environment. This position is also responsible for processing payments and providing administrative support for the organization.

Team Function: This position is a part of the Level 1: Information and Awareness team. This team is responsible for client services (eg welcome clients, information and referrals, registrations, payments), community outreach & services (eg Coffee Breaks and CFB Kingston Connect-A-Thon), building security & maintenance (eg company vehicle and trailer, fire warden), company equipment & supplies (ordering, tracking, and inventory), committee participation (eg Wellness & Social and Joint Health & Safety), marketing & promotion, communications & branding, volunteer services, presentations & briefings, community engagement, hospitality support (eg for special site visits) and fundraising & donations.

DESIRED MINIMUM KNOWLEDGE, EDUCATION AND EXPERIENCE

  • College diploma in Social Services, Mental Health, Human Services, or related field, OR Demonstrated equivalent combination of education, training and/or experience, AND Several years of experience in human/family services providing frontline support;
  • A minimum of two years' experience in reception/administration;
  • Excellent computer skills in a Microsoft Windows environment. Must include knowledge of Word, Excel, Outlook, Access and Internet;
  • Excellent written and oral skills in English and French (approx. 30% of clients are French-speaking). Other languages ​​are considered an asset. If there are no successful bilingual (French/English) candidates, other candidates will be considered;
  • Knowledge of front-line services best practices, including filing systems, records management and crisis intervention techniques;
  • Knowledge of community services, programs and organizations as well as local and national family resources and services programs an asset;
  • Current CPIC including Vulnerable Sector Check (required upon hiring);
  • Current Standard First Aid/CPR Level C certificate (required upon hiring);
  • Ability to work flexible hours; required to work early mornings (opening), afternoons, evenings (closing) and occasional Saturday morning shifts (opening and closing). Hours of work are 37.5 hours per week. Schedule may vary to meet operational requirements.
  • Must be eligible to undergo Department of National Defense reliability screening; continued employment is conditional on obtaining the appropriate reliability clearance.
