POSITION SUMMARY

The Associate Leadership Giving provides support to the Director of Leadership Giving and Campaigns, and the Leadership Giving Team, preparing correspondence, reports and other required documentation in an accurate and timely manner. The Associate also provides reception to the Foundation as a whole and as first point of contact, requires a high degree of professionalism, the ability to work in a fast-paced environment and a strong work ethic.

RESPONSIBILITIES INCLUDE:

• Acts as the Foundation’s first point of contact for visitors, inquiries, and incoming calls.

• Processes donations at reception and provides general information to the public.

• Supports Foundation activities as assigned by the Director of Leadership Giving and Campaigns.

• Communicates and collaborates with fundraising volunteers.

• Provides administrative assistance to the Director and Leadership Giving Team.

• Prepares presentations, briefing notes, gift agreements, proposals, reports, grant applications, and meeting materials.

• Supports proposal development and creation of cases for support.

• Manages the Director’s calendar.

• Completes data entry and updates in UHKF’s CRM (Raiser’s Edge) for multiple team members.

• Records donor interactions, updates constituent information, links documents, creates queries, and generates reports.

• Coordinates and prepares materials for donor meetings and internal team meetings.

• Produces agendas, minutes, reports, briefing notes, and PowerPoint presentations.

NOTE - The above duties are representative but not all-inclusive.

BASIC QUALIFICATIONS:

• Post secondary diploma or a combination of education and work experience

• Minimum of 3 years of administrative experience, ideally in a non-profit/charitable environment

• Knowledge of CRM systems, preferably Raiser’s Edge

• Familiarity with local hospitals, healthcare programs, and departmental structures

• Awareness of major and planned giving practices is considered an asset

• Experience working with volunteers and committees is an asset

• Strong administrative, organizational, and time-management abilities

• Excellent written, verbal, and interpersonal communication skills

• Proficiency with Microsoft Office

• High integrity, confidentiality, and ability to manage interruptions while working cross-functionally

• Self-starter with the ability to work independently and as a team player

• Effective interaction with community members and hospital staff

• Knowledge of non-profit/charitable sector practices and regulations

• Adaptability and a positive, professional team-oriented attitude

• Familiarity of contracts considered an asset for drafting gift agreements

• Satisfactory Criminal Record check

• Proof of required vaccinations
