We're growing our team and looking for someone who gets that—an experienced Accounting Administrative Assistant who pays attention so the rest of us can build.

The role:

As an Accounting Administrative Assistant, you'll be the person who makes everyone else's job easier. You'll work alongside our payroll and accounts payable team, doing the detail work and preparation that keeps things moving without hiccups.

On any given week, you'll:

  • Verify and reconcile payroll hours from the field so they're accurate and ready for processing
  • Review time and material sheets for accuracy—catching missing information such as rates, rental charges, materials or subcontractor details
  • Scan and match documents in our accounting software so project costs are tracked accurately, and approvals are in place before things move forward
  • Match invoices to statements, route them for approval and keep the paper trail organized
  • Follow up with project managers, superintendents, and crew when something's missing or doesn't line up
  • Keep our filing system organized so anyone can find what they need, when they need it
  • The people who do this well catch discrepancies early, ask direct questions when information's unclear, and see things through. When you nail your piece, field activity gets translated into numbers that tell the real story.

Who this is for:

You've spent 3+ years in an administrative role where details matter and follow-through is everything. Construction experience is helpful—you'll pick up the rhythm faster—but what matters most is that you're organized, curious, and reliable.

You have:

  • A college diploma in office administration, business, or a related field
  • Strong Excel skills (you're comfortable cleaning up data, not just entering it)
  • Experience with accounting software; familiarity with Procore or Corfix is a bonus
  • More importantly, you:
  • Communicate directly when you spot an issue or need clarification
  • Stay calm when priorities shift mid-week
  • Ask questions instead of making assumptions
  • Build trust by being consistent and thorough
  • Take ownership of your piece so the team can count on clean handoffs
