A Brief Overview

This role provides critical administrative support for the Clinical Education component of the Occupational Therapy (OT) and Physical Therapy (PT) graduate programs within the School of Rehabilitation Therapy. Key responsibilities include supporting clinical education committees, managing affiliation agreements, liaising with clinical sites and clinical preceptors, maintaining accurate records of student clinical placements, and overseeing payment processes for clinical facilities. They are responsible for managing all database activities, including assistance with placement matching, running database queries, and maintaining accurate records related to site information, payments, and placement tracking. The position requires proficiency in handling complex administrative tasks efficiently, effectively prioritizing multiple tasks, attending to program specific details and ensuring the smooth clinical education operations of both the OT and PT graduate programs.

This position acts as first point of contact regarding contract procedures or policies. This position coordinates the flow of contracts through various stages of the review process. This position ensures accuracy of basic contract information for all new agreements, and updates and maintains records databases. This position also identifies problems with contract documentation, and liaises with stakeholders to communicate when steps in the process have been completed or when information is required.

CORE DUTIES:

• Acts as first point of contact regarding contract procedures or policies.

• Ensures accuracy of basic contract information for all new agreements.

• Updates and maintains records databases.

• Identifies problems with contract documentation, and liaises with stakeholders to communicate when steps in the process have been completed or when information is required.

• Assists team members with compliance matters, engaging with external agencies to obtain required documents.

ADDITIONAL DUTIES:

• Other duties as required in support of the department and/or unit.

REQUIRED QUALIFICATIONS:

EDUCATION

• Three-year Community College Diploma or Three-Year Bachelor Degree, or equivalent.

EXPERIENCE

• More than 2 years and up to and including 3 years of experience.
