Shetler and Sargeant are a small, growing residential construction company based in the Napanee / Lennox & Addington area. The business is currently owner-operated, with both owners actively working on site while also managing project coordination, estimating, and day-to-day operations.

We’re looking to bring on a Project Coordinator (with potential to grow into a Project Manager role) to help manage the flow of multiple ongoing projects and take on the coordination responsibilities that are currently limiting our capacity.

This is a hands-on coordination role focused on keeping projects organized, supplied, and moving forward. The successful candidate will work closely with ownership and support multiple active jobs at once. The goal of this role is to improve efficiency, reduce downtime, and allow ownership to stay focused on production and quality.

Responsibilities (in order of priority):

1. Materials & Procurement

  • Prepare material takeoffs from drawings and job notes
  • Source pricing from suppliers
  • Coordinate and place orders (with approval)
  • Schedule deliveries to site or shop
  • Track lead times and ensure materials are available ahead of crew needs

2. Scheduling & Subtrade Coordination

  • Assist in maintaining project schedules across multiple jobs
  • Coordinate and confirm subtrade schedules
  • Follow up to ensure trades arrive as planned
  • Adjust schedules as required due to weather or job progress

3. Project Tracking & Communication

  • Track job progress, milestones, and upcoming requirements
  • Identify and flag potential delays or issues early
  • Communicate regularly with ownership on project status
  • Help maintain overall workflow between two active crews

4. Estimating Support

  • Assist with material lists and pricing
  • Contact suppliers and gather quotes
  • Prepare draft estimate components for review

5. Organization & Documentation

  • Maintain organized job folders (plans, photos, invoices)
  • Ensure project information is accessible and up to date

What the Role Does NOT Include (at this stage)

  • Final pricing or contract negotiation
  • Client management or change orders
  • Direct crew supervision or quality control

This role is intended to support operations and grow into greater responsibility over time.

Requirements:

  • Background in construction, trades, or project coordination
  • Strong organizational skills and attention to detail
  • Comfortable managing multiple projects at once
  • Proactive and able to anticipate next steps
  • Good communication skills and able to work closely with hands-on owners
  • Comfortable working in a fast-paced, evolving environment
Compensation & Structure:

  • Salary range: $55,000–$70,000 annually, depending on experience
  • Health Spending Account (HSA) up to $1,500/year
  • Company vehicle provided during working hours
  • Full-time position with long-term growth into a Project Manager role
