Allin & Associates is a public accounting firm in Prescott, Ontario serving corporations, individuals, trusts, and not-for-profits across Eastern Ontario. We are seeking a full-time Office Administrator / Receptionist to be the front line for our clients and a central support for our team.
This is an in-office role at our Prescott location. The right person enjoys client interaction, takes pride in keeping things organized, and brings positive energy to the office every day.
Role details:
- Location: Prescott, Ontario (in-office)
- Hours: Full-time, 7.5 hours per day, Monday to Friday, with extended hours as needed during busy periods
- Summer schedule: Fridays off in July and August
- Compensation: From $22.00 per hour, reviewed after the first 3 months
- Start date: Flexible
Responsibilities:
Greet clients warmly in person and on the phone, and direct them to the right team member
- Manage incoming calls, emails, and general correspondence for the firm
- Schedule client meetings and maintain partner and staff calendars
- Receive, sort, and distribute mail and client documents
- Prepare engagement letters, client correspondence, and other documents in Microsoft Word
- Maintain client files in our SharePoint document system, following established naming conventions
- Support invoicing and payment follow-up using QuickBooks Online and our practice management system (Karbon)
- Order office supplies, manage couriers, and keep common areas tidy and presentable
- Provide administrative support to the team of 4 to 6 staff and the partner
Qualifications:
- A friendly, professional, and engaging personality — you genuinely enjoy people
- Strong written and verbal communication in English
- Comfort with Microsoft Office (Word, Excel, Outlook, Teams)
- Organized, dependable, and detail-oriented
- Discretion and judgment with confidential client information
- Willingness to learn new software (we use Karbon, SharePoint, QuickBooks Online, and CCH iFirm)
