Frontenac Property Management is a locally owned and operated company in Kingston, Ontario. We are a full-service property management company committed to continually improving the rental experience for the investment property owner as well as the tenant. We are looking to fill the role of Leasing Assistant to work within our leasing department. The successful candidate will have exceptional attention to detail, superior communication skills, and great time management.

- Job Type: This is a full time position 8:30 am to 5:00 pm Monday to Friday. Additional hours may be required during evenings and/or weekends as needed during high volume turnover periods.
Your roles and responsibilities will include:
- Reviewing and processing rental applications, ensuring all required documents are submitted
- Communicating with prospective tenants and property owners regarding the leasing process
- Presenting rental applications to manager and property owner for final approval
- Accurately preparing lease documents and conducting lease signings with new tenants
- Processing sublet applications and agreements
- Responding to parking inquiries and preparing parking agreements as well as maintaining list of available parking spaces
- Communicating with tenants and owners regarding lease renewals, preparing lease renewal documents for signing
- Day to day communication with existing tenants
- Receiving notice to vacate from tenants
- Preparing Landlord Tenant Board forms as required
- Maintaining client and tenant files in company databases
- Conducting property showings and walkthroughs
- Providing updates to property owners on feedback from showings and interest level of property
- Supporting office administrator; answering phone calls and emails
- Assisting other team members/departments during high volume periods
- Participating in company evening and weekend coverage rotation
The right candidate will have the following qualifications and experience:
- Excellent communication skills in English (both verbal and written)
- Professional phone, email and face to face demeanor
- Experience using various computer applications, ie, Google Workspace, Buildium, iphone
- Superior organizational skills; ability to prioritize and multitask among competing demands
- Critical thinking to solve problems effectively
- Attention to detail
- Self-starter with experience working independently and in a collaborative environment
- College Diploma in Business Administration or Office Administration or equivalent work experience
- Prior experience in leasing, property management or real estate is an asset
- Hold a valid “G” License (a successful candidate will be required to provide a 3 year uncertified driver’s record at their expense)
- The successful candidate will be required to provide a Criminal Record check (to include Vulnerable Sector check) at their expense as a condition of employment.
