2023 Program Coordinator
Program Coordinators (PC) undertake many of the administrative and leadership responsibilities for the Pre-Professional Program (3P) program, while also participating in the summer employment program as an artist. Your artistic level may be either EA or 3P. *Post-secondary Artist Management students/graduates may also participate as a PC without performance expectations.
This full-time summer employment contract ranges from 8 -16 weeks, April through September. Post-secondary students are welcomed and encouraged to apply for this position as part of their program’s requirements for a co-op or work placement. Contracts for most roles are offered at the Ontario minimum wage.
This position follows a hybrid work structure where employees both work from home or from the office, as needed, based on demands of specific tasks and/or personal work preferences. Working from the office/studio is encouraged when working on tasks that require a high degree of collaboration. Training and Workshops may be online or in-person, as needed.
Due to federal funding requirements for this position, eligible applicants must:
- Be 15–30 years of age on their first day of work
- Be a Canadian citizen, have a permanent resident card, or be protected under the Immigration and Refugee Protection Act (there is no requirement to be a student)
- Be present in Canada while working
- Hold a valid Social Insurance Number, and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations
The pre-screening questions in this application will allow you to share your artistic materials that define your artistic placement. You DO NOT have to submit multiple applications for the Emerging Artist or Pre-Professional Program roles. This Program Coordinator application is also an application for either the Emerging Application program or Pre-Professional Programs.
Duties and Responsibilities of a Program Coordinator
Program Coordinators enjoy the opportunity to continue to develop their artistic practice via their participation in the Artistic Program (EA or 3P), and wish to grow their administrative and leadership abilities through the addition to the following responsibilities:
- Motivate and inspire staff and facilitate personal growth through team and individual activities and goal-setting.
- Liaise with festival operations staff for each of the summer festivals, and provide support for the staffing of Co-op musicians at local events.
- Collaborate with other supervisors and managers across supporting departments.
- Engage in daily 1:1 and group remote check-ins with musicians under their supervision
- Foster a productive and creative work environment.
- Communicate and support achievement of work expectations with their team.
- Assist in setting strategic long and short-term project goals and evaluate outcomes.
- Provide feedback to ensure company goals and objectives are being met by each participant.
- Help schedule activities, keep logs, maintain records and prepare reports.
- Approve timesheets and time-off requests for participants under their supervision.
- Support and uphold company policies including but not limited to safety rules and regulations, dress codes, and attendance.
- Safely supervise, coordinate, plan and oversee the daily work activities of participants in the 3P program.
- Complete reports and administrative duties in a timely and responsible manner.
- Practice soft skills associated with artist management and arts administration.
- May be required to participate in and lead training and workshops in areas of your expertise to develop additional career-related competencies.
Program Coordinator Work Hours
PCs will participate in a shift sign up process at the beginning of the summer to provide the most flexibility in arranging schedules that suit their other performance commitment needs.
- Tuesday to Friday (7 hrs/day)
- Scheduled performances and/or supervision shifts on evenings and weekends
- Monday: Full “Dark Day” Off
Emerging Artist and Pre-Professional Program Artist Eligibility
- Must have their own portable solo performance setup for in-person performance opportunity (battery-powered amplification implements optional, but strongly recommended)
- Must have minimum of 60 minutes of material suitable for performance in public spaces, and be prepared to engage and entertain the public
- Must be prepared to perform for up to 3 hours in length in-person
- Must be willing to engage in online performances of up to 60 minutes
- Performances are typically evenings and weekends.

- 2-3 minute audition video of a live, unedited performance (original songs preferred.
- Video must be unedited (i.e., no vocal tuning, audio processing, or video editing of any kind
- Links to public performances are permitted as long as they follow these guidelines.
- We will review a maximum of three minutes of content. You can provide a link that starts at a specified timestamp of your choice.
- Video may be uploaded as “unlisted” on YouTube if preferred. Please ensure that your video link is NOT private, as the audition jurors will not be able to view it and your application will not be considered.
- Attendance at a local Round One Audition may be substituted for the online video.
- Short summary of your career-related goals for the end of the summer, one year from now, and five years from now.

RETURNING STAFF

Education/Experience Requirements
A strong candidate:
- Will possess or be nearing completion of a post-secondary or post-graduate program in one of the fields of Music, Music Business Studies, Audio Engineering,; or possess equivalent work experience and knowledge.
- May have one to two years of experience as a supervisor, or leader (including, but not limited to, peer mentors, camp counsellors, instructors, etc.).
