The Sexual Assault Centre Kingston (SACK) is a feminist, not-for-profit organization providing free, confidential, non-judgmental support for survivors of sexual violence in Kingston, Frontenac, Lennox & Addington. We provide support to survivors of all genders, ages 12 and up, who have experienced recent and/or historic sexual violence.

About the Job:

This position is two days (14 hours) per week, Tuesdays and Wednesdays 9:30am to 4:30pm. This is not a remote position; the successful candidate will be required to work in our physical office in Kingston, Ontario.

Role Overview:

The Administrative & Financial Assistant (AFA) is responsible for key administrative and financial duties central to Centre operations. The ideal candidate will be experienced in handling a wide range of organizational tasks and will be able to work independently with minimal supervision. This person must be exceedingly well organized, flexible and enjoy the challenges of supporting a small office of diverse people. This role will require the incumbent to adhere to strict levels of confidentiality, as well as develop proactive and responsive systems.

Reporting to the Manager of Finance & Operations and the Executive Director, in this role you will be responsible for the following:

  • Processing payables and receivables;
  • Reconciling bank and credit card statements;
  • Managing, dispersing and reconciling petty cash;
  • Generating reconciliations and reports using bookkeeping software;
  • Supporting the Manager of Finance & Operations with audit document preparation;
  • Submitting annual property tax rebates;
  • Preparing bank deposits;
  • Managing SACK’s Canada Helps page and donations, and responding to inquiries regarding third-party fundraising;
  • Managing the inventory and maintaining the stock of office and operational supplies (e.g. health and safety, furniture, office supplies) and general marketing materials, handling online purchasing;
  • Liaising with service providers regarding any issues (e.g. phones, internet, computers, copier, alarm company, landlord, utilities), as directed by the Manager of Finance & Operations;
  • Supporting staff with in-person reception and phone inquiries; and
  • Other financial and administrative tasks as assigned.

We are looking for someone who has the following:

  • Post-Secondary education in Business Administration, Nonprofit Management, Finance, and/or Human Resources;
  • Strong accounting/bookkeeping skills;
  • Excellent computer literacy and sound knowledge of Simply Accounting and/or Quickbooks, Microsoft 365 and the Google Suite; and
  • Excellent information management, interpersonal and organizational skills
  • Please note that a criminal background check is required.

We would love it if you had:

  • Knowledge of anti-racist/anti-oppression, feminist and intersectional perspectives and equity frameworks;
  • Knowledge of and/or experience within the gender-based violence sector, especially in a nonprofit setting; and
  • A valid driver’s license and reliable transportation (mileage is provided outside of regular commute).

Other Details:

  • Compensation: This position is a part-time, one-year contract position with the possibility of renewal.
  • Starting Salary: $23-25/hour depending on experience
  • Anticipated Start Date: Tuesday, June 11, 2024
