Kingston Literacy & Skills (KL&S) is a non-profit community organization. With professional, knowledgeable staff and dedicated volunteers, we deliver Literacy and Basic Skills (LBS) upgrading, workforce preparation, and other essential skills training programs that help adults in Kingston and Napanee reach their goals in employment, education, and independence.

As a Clerical Assistant you will be responsible to:

  • Provide entry-level office administration support to the Napanee-based Literacy and Basic Skills programs and staff
  • Create and maintain office records and instructional resources, manage and update small technology and software, and prepare materials and supplies for use in instruction
  • Help create and maintain a safe, inclusive, and welcoming learning environment for adults
  • Respect the diversity, confidentiality, and needs of adult learners seeking to upgrade their essential and pre-employment skills

QUALIFICATIONS:

The following are required for the Clerical Assistant position:

  • An OSSD or Grade 12 completion is preferred; significant previous Clerical or Office Administration experience may be considered in lieu of completed education
  • Minimum of 6 months of previous experience working in an office or classroom environment
  • Current legal entitlement to work in Canada and demonstrated strong English language skills (minimum CLB 5 or higher for non-native English speakers)
  • Acceptable Criminal Records Check (CPIC) with Vulnerable Sector
  • Strong communication, problem-solving, and customer-service skills
  • Demonstrated strong digital literacy skills, including: using Microsoft Office Suite and other software and apps; ability to edit and merge PDFs; downloading and updating software; managing digital files; using a variety of small technology including smart tech; and using the internet and A.I. effectively to find information
  • Attention to detail, strong organizational skills, and time management
  • Ability to complete tasks that require light physical work, lifting up to 20lbs, and working with cleaning equipment and products
  • Maintaining confidentiality and a judgement-free outlook in order to support individuals with significant barriers to success including but not limited to low literacy, previous incarceration, interrupted education, socio-economic challenges, and disability

The following are an asset for the Clerical Assistant position:

  • Has or is working toward a post-secondary degree or diploma in office administration, office management, or equivalent combination of education and experience
  • 1+ years of previous general clerical and office administrative experience, especially experience that includes maintenance of technology assets
  • Experience working with diverse clients, refugees, workforce development, and/or marginalized/at-risk communities
  • Bi-lingual (speaking/listening) proficiency in any additional language
  • Self-identification as a member of an underrepresented group, including candidates who are women, Indigenous, LGBTQIA2S+, youth, newcomers, BIPOC, and/or those with a disability
  • Experience with design and social media applications (ex: Canva, Instagram, etc)

Details

  • Starting Date: Immediate
  • Term: up to 6 months, ending March 31, 2025 with extension possible based on performance and funding.
  • Hours and Salary: 15 hours/week @ $17.20/hour + 4% vacation. Actual work hours will be negotiated between the successful candidate and the LBS Napanee Manager but must fall during normal operating hours of KL&S Napanee, Monday through Friday between 8:30am and 3:00pm.
  • Work Location: This is an in-person position located in Napanee, Ontario.
